How do I use the Filing Results option?

The Filing Results function allows you to check on the status of your lodgements, and in the case of Rejected lodgements it allows you to view the reasons for rejection.

Selecting the Filing Results option on the menu will display a search screen where you can enter certain criteria to retrieve details of filings. The documents which match your criteria are displayed in groups of 10. A link below the list allows you to view the next group of documents that match your criteria.

No charges apply for viewing the status your documents in Filing Results.


How do I limit the results returned by my search?

To view all lodgements for your account for the day, simply click the Search button. It is also possible to search over a period of time by entering a date range or entering a number of days prior to the current day. To limit the transactions returned use the following search criteria in any combination:

Case Number applies to documents with a status of FILED only, % can be used as a wildcard.
Your Reference as entered when creating the case, up to 40 characters, % can be used as a wildcard
Case Description as entered when creating the case, up to 40 characters, % can be used as a wildcard
Document Status    Issued, Rejected, Pending or Hold. Any combination of these can be selected.
Date Filed today, in the last n days, or a date range
Document Type select from list

Select one of the Sort By radio buttons to order your results by either Date/Time (the default setting), Document Type, Your Reference or Case Description.


What information will I get from this search?

A Filing Results search will return either a single record or a browse list of matching records showing the Case Number, Case Description, Your Reference, Document Type, Seal, Status and Status Date.

You can not view a document, submit an additional filing or add or change a party from within Filing Results. However, you can print the cover sheet for your filing if one is provided. Simply click on the appropriate link (Y) then use the print button of your browser to print it.


Can I search for cases/documents that were filed by other practitioners?

You can check on the filing result status of a case/document that was lodged by another practitioner provided that you are acting in the case and that you use the Case Number as your search criteria. CITEC Confirm can not provide you with the Case Number.


How do I view and print the Court Seal/Filing Confirmation Notice for a document?

Filed documents with an associated Court Seal/Filing Confirmation Notice shall have a 'Y' under Form 28. Selecting this link will open a new window displaying the Filing Confirmation Notice (Form 28) which includes:

  • The Case Details
  • An electronic copy of the Court Seal
  • "The attached document is a validly issued document of the County Court of Victoria."
  • The deemed date/time of the document issue

The addressee information collected when a Subpoena filed (civil) or an eFiled 42AA Subpoena to Registrar Issued is eFiled will be also be displayed on the Form 28. This is to verify that the subpoena, with that particular addressee, was successfully eFiled.

Please note: you will only be able to print the Filing Confirmation Notice (Form 28) once the status for that court fee lodgement is set to FILED.


Can I use the Filing Confirmation Notice (Form 28) as proof of payment of my Court Fees?

Yes. The courts have advised that you may present the Filing Confirmation Notice, at the start of the court session, as proof of payment of the applicable court fee. Simply click the 'Y' link under Form 28 to access and print the Filing Confirmation Notice (Form 28) once the status for that court fee lodgement is set to FILED.

Please note: you will only be able to print the Filing Confirmation Notice (Form 28) once the status for that court fee lodgement is set to FILED.


What do the eFiling Status codes mean?

There are four possible status codes for an eFiling - FILED, REJECTED, PENDING and HOLD.

Filed Lodgements that have been reviewed and accepted by the Court and lodgements that do not require review are assigned a status of FILED.
Rejected   Lodgements that have been reviewed by the Court but have not been accepted are assigned a status of REJECTED.
Pending Lodgements awaiting review by the Court will have a status of PENDING.
Hold Lodgements that have been created and saved but not yet sent to the Court are on HOLD..

Note: It is also possible that a status of ACCEPTED may be seen sometimes. This means that the document has either been accepted automatically (does not require review) or accepted by the County Court (requires review) AND is in the process of being updated on the County Court database. The status of ACCEPTED will change to FILED once the update completes successfully. You will need to conduct your Filing Results search again to see if the status has changed.


What information will I get from a Rejected status link?

Selecting the Rejected link in the status column will open a new window displaying the reasons provided by the Court for rejecting a document. Rejected documents can be resubmitted from within Filing Results using the Resubmit button on the rejection screen. Correction and resubmission of rejected documents should occur from either Create Case (for Originating Motions and Writs), Additional Filing or Add or Change Party.


What does the Status Date represent?

The Status Date shows the date and time at which a particular document was placed in its current status. If the status is FILED or REJECTED, the date/time will show when the Court processed that document. PENDING documents display the date/time the filing was received by CITEC Confirm and HOLD documents display the date/time that they were placed on hold.


Can I remove a document from hold on this screen?

The hold status can be removed from a document through Filing Results. Clicking the Hold link will display an input screen (either Create Case/Add or Change Party or Additional Filing, depending on the document) pre-filled with the case details. From these screens you can modify case or document details and either submit the document or put it on hold again.
