What information will I get from an Imaged Document?

Scanned images of titles, plans and dealings are all available in their original paper form for ordering via the Imaged Documents Search. The majority of documents will be available online within minutes, either in PDF or other digital format. Some older documents have not yet been scanned, but can still be ordered and returned online. These older non-imaged documents will be sent for manual scanning as they are ordered via the 'Scan on Demand' service. Documents processed by 'Scan on Demand' generally take only a few hours, during business hours, to return online.

A cover sheet will be attached to your Document image. This cover sheet will list the details of this document, as recorded by the Registrar General.


What should I know about Document Types?

A variety of different document types are available for searching, these include:

Why am I charged a Plan Copyright Fee when I order a Strata Plan or Deposited Plan?

NSW Land Registry Services collects a Copyright Fee for these plan types. The fees for the Plan and the Copyright Fee will appear as two separate transactions on your usage report.


What is an ADIS Document Number?

When retrieving ADIS imaged documents, you are required to use a Document Number for the search criteria. The correct format for an ADIS Document Number is:

  • The ADIS Book (four digits)
  • Followed by the ADIS Number (three digits)

Example: ADIS Book 4123 followed by ADIS Number 456 creates the Document Number 4123456.

The Document Number must be seven digits in length. If the ADIS Number is fewer than three digits, the missing digits must be supplemented with zeros.

Example:

ADIS Book ADIS Number Document Number
4123 45 4123045

One ADIS Number is greater than three digits, 1000. When 1000 is being entered as the ADIS Number, the thousands digit must be removed and the number entered as 000.

Example:

ADIS Book ADIS Number Document Number
4123 1000 4123000

Please Note: CITEC Confirm can only supply information relating to ADIS Books 4000 and above.


How do I order a copy of a Bill of Sale?

You can obtain a copy of a Bill of Sale by selecting ADIS Book and No from the imaged document type list and by entering the document number pertaining to the required Bill of Sale.


What should I know about Document Subtypes?

Document subtypes are only returned for Deposited Plans and Strata Plans, you will have the option to search on any of the available subtypes throughout your search.

Valid document subtypes returned are noted below:

Only documents with available document subtypes will be listed for selection.


Why can't I open my result?

The images are returned as PDF files, requiring Adobe Acrobat Reader to open. Please see the CITEC Confirm Software Downloads FAQ to ensure you have the correct software installed on your machine.


How do I request email delivery?

To receive the results by email enter an email address in the field provided. If you have a default profile with an email address then your address will be automatically entered for you. Select Email as the Delivery Method. Visit our Profile Maintenance FAQ for more information.   

Please note: Images larger than 5MB will not be emailed due to their large size. 


How long does it take to return results?

Images available online, will generally take a few minutes to return online. Older documents that are not currently imaged will be manually scanned by NSW Land Registry Services and returned online, as normal. The manual scanning process will take a minimum of several hours to return the imaged document, or next business day for after hours requests. Please allow for one business day before contacting CITEC Confirm if you have not received your result.


How do I download and view results?

Online result requests are stored in your Confirm Inbox for 28 days, and can be viewed and/or printed at any time. You can retrieve results from your Inbox by following the links in the Confirm header. For more information on how to use the Inbox, please see the Inbox FAQ.
